Collaborative Editing

Share your video with teammates in your organization so you can work on it together — one editor at a time.

Collaborative video editing is available to accounts within the same partner organization. You must be the video owner to share it with others.

What Is Collaborative Video Editing?

Collaborative video editing lets you grant other teammates in your organization edit access to a video you own. Collaborators can open your video in the editor, make changes, and save — just as you would. Because only one person can edit at a time, Waymark uses an editor lock to make sure work is never overwritten.

As the video owner, you stay in control: you can share the video with as many teammates as you like, and revoke access at any time.

Sharing Your Video

How to Add a Collaborator

  1. Open the Account page.

  2. Click the Share button to open the share modal.

  3. In the Collaborators panel, search for a teammate by name. Only accounts in your organization will appear in results.

  4. Select their account and click Share. They’ll receive an email with a direct link to the editor.

The collaborator will receive a one-time email notification with a link to open the video. This email is only sent when you first share — not on subsequent edits.

How to Remove a Collaborator

  1. Open the share modal for the video.

  2. Find the collaborator in the Collaborators panel.

  3. Click the X next to their name, then click Remove to confirm.

A confirmation prompt appears after clicking X. Click Remove to revoke access, or Cancel to keep the collaborator.

Once revoked, the collaborator will no longer be able to open the video in the editor. If they’re actively editing when you revoke access, they’ll be redirected out of the editor automatically.

Collaborators are not notified when their access is removed.


Finding Shared Videos

Your account videos page now includes a filter to help you find the right videos quickly.

  • All Videos — every video you own or have been given access to.

  • My Videos — only videos you own.

  • Shared with Me — only videos others have shared with you.

Each video card also shows who owns it and when it was last edited. If the video was edited by someone other than the owner, you’ll see a separate ‘Last edited’ line showing who made the most recent changes.

The ownership filter dropdown on the account videos page. Select All Videos, My Videos, or Shared with Me to narrow your list.

Your selected filter is saved in the URL, so you can bookmark or share a filtered view with a teammate. Videos default to sorting by last edited (newest first), but you can also sort by date created or alphabetically by name.

The Editor Lock: One Person Edits at a Time

To prevent two people from accidentally overwriting each other’s work, Waymark uses an editor lock. When you open a video in the editor, you automatically claim the lock. The lock stays active as long as you’re working.

If Someone Else Is Editing

If you try to open a video that a teammate is actively editing, you’ll be taken to the preview page instead. A banner at the top of the screen will tell you who currently has the video open, and invite you to try again once they’re done. If the editor’s account doesn’t have a name set up, the banner will read “Someone is currently editing this video.” instead.

Unnamed variant: if the editor has no name on their account, the banner reads “Someone is currently editing this video.”

If the current editor closes their browser without saving, the lock will automatically clear after a short period — so you won’t be locked out for long.

Leaving the Editor

When you navigate away from the editor using the in-app navigation, your lock is released right away so your teammate can jump in. If you close your browser tab or reload, the lock clears automatically after a short period.

Reloading the Page

Reloading the editor page while you’re editing will not remove you from the editor. Your lock is preserved through a reload, so you can safely refresh without losing your place.

Brand Access for Collaborators

When editing a video that was shared with you, you’ll have access to the owner’s brand — but you won’t be able to change it. This protects the brand from accidental edits by collaborators.

What Collaborators Can Do

  • View all brand details: business name, logo, colors, fonts, and contact info.

  • Add new images or footage to brand assets.

  • Use the brand’s existing colors and fonts in the video.

What Collaborators Cannot Do

  • Edit business details (name, website, phone, address, etc.).

  • Upload, replace, or remove the brand logo.

  • Add or remove brand colors or fonts.

  • Remove existing brand images or footage.

  • Switch to a different brand, delete the brand profile, or run Set Direction / AutoFill.

A banner inside the brand modal will remind you that the brand belongs to the video owner and some options are restricted.

Frequently Asked Questions

Can I share a video with someone outside my organization?

No. The Collaborators panel only shows accounts within your partner organization. To share a video with someone outside your org, use the standard share link.

Can multiple collaborators have edit access at the same time?

You can share a video with multiple teammates, but only one person can actively edit it at a time. Others will see the editor lock banner until the current editor is done.

Will the collaborator lose their work if I revoke access while they’re editing?

If you revoke access while a collaborator is actively editing, they’ll be redirected out of the editor immediately. Any unsaved changes will be lost, so it’s a good idea to coordinate with your teammate before revoking.

Can I see who last edited a shared video?

Yes. Each video card on your account videos page shows who last edited the video and when, as long as it was edited by someone other than the owner.

Will I be notified if my access is removed?

Not currently. There is no email or in-app notification when a collaborator is removed from a video. You will simply lose access the next time you try to open it.

Can I turn off the email notification when someone is shared on my video?

Not currently. A notification email is always sent to the collaborator when they are added. There is no option to disable this at the moment.
